NETZSCH Pump Down? This 6-Step Emergency Checklist Prevents Repeat Failures

If you've ever watched a production deadline get closer while a pump stays silent, you know the feeling. I coordinate emergency service support for NETZSCH process pumps, mainly NEMO and Tornado machines. Last year alone, I managed 47 urgent requests for pump repair or replacement. This is the checklist I use when the clock is running.

Some of the maintenance teams I support search for a 'NETZSCH pump,' and some type 'netzsch equipamentos' into their asset system. The language is not important. A stopped pump is the same problem in every language.

This checklist is for maintenance managers, plant engineers, and procurement people who need to make a fast decision. There are six steps. Work them in order. Step 5 is the one people try to skip, and it is the one that saves you from doing this twice.

1. Stop the pump and record what happened before it stopped

Your first instinct is to restart. Do not do that until you know why it stopped. If a progressing cavity pump ran dry or sucked in debris, another start can turn a replaceable stator into a damaged rotor and pump body.

Write down the five things that matter:

  • How was it running before failure? Steady, or slowly losing flow?
  • Did the sound change? A whine, a clunk, or a high-frequency slip?
  • What was the product? Chemical name, solids content, temperature, viscosity.
  • Was any upstream process changed recently? New tank, new filter, different transfer pressure?
  • When was the last service and what parts were changed?

This log is not paperwork. It is the fastest way to direct the right technician and the right spare part to your site.

2. Find the serial number and the previous repair history

If you call a service center and say, 'I need a stator for a NETZSCH pump,' that is the equivalent of saying, 'I need a tire for a car.' The right response is: which model, which size, which options.

Find the nameplate. On a NEMO pump, it is usually near the drive end or on the stator housing. If it is gone, take a clear photo of the pump from three angles and find the last service report. The part number on that report is worth more than a memory of what 'looked like' the right pump.

Take 60 seconds to do this before making a call. It saves hours later.

3. Separate the real emergency from the perceived emergency

Not every failure needs an emergency response. I've seen teams spend thousands on overnight freight when the plant had a spare pump in the warehouse or the process could survive on reduced rate until the next scheduled window. The first question to ask is not, 'How fast can you ship?' It is, 'What is the actual cost of waiting one more day?'

This is also the point where I give an honest, slightly inconvenient recommendation. I recommend OEM wetted parts for most NETZSCH pumps, especially when you are handling chemical, hygienic, abrasive, or shear-sensitive fluids. The geometry, elastomer, and traceability matter. But if the failed component is a standard motor coupling or a non-process part, the local industrial supplier may be entirely appropriate. There is no universal answer. No pump company has one.

If you are not sure whether you need OEM, ask an applications engineer, not a salesperson. I'm not a materials scientist, so I don't guess elastomer compatibility from a fluid name. I ask for a compatibility check or a data sheet. That boundary has saved me more than once.

4. Place the order like it might be wrong

When I order a rush part, I assume the first quote is missing something. It has saved me from my own optimism.

Ask these four questions before you approve:

  • Is the part in stock at the exact location that will ship, or does it need to be transferred first?
  • What is the confirmed dispatch date, not the target dispatch date?
  • Does the quoted price include seals, fasteners, gaskets, and any service technician time?
  • If the part is wrong or damaged in shipping, what is the return and replacement process?

Once, I approved a rush quote without checking whether it included gaskets and O-rings. The main component arrived, but the small seals did not. We had to wait another day. A thirty-second question would have prevented that.

Honestly, I'm not sure why some suppliers won't show real-time stock on their portal. My best guess is that inventory systems are more fragmented than they admit. The workaround is simple: ask for a photo of the actual part before it ships.

5. Inspect the installation while you wait for the replacement

Here is the step most people skip.

When a pump fails during a deadline, the natural focus is on getting the replacement part in your hands. But the replacement will fail just as quickly if the root cause is still in the pipe. While the part is in transit, inspect the system.

Check the suction strainer and foot valve. Check the coupling alignment. Check the dry-run protection. Look at the old stator and rotor: does the stator show swelling, tearing, hardening, or heat damage? Is there debris in the pump inlet? Is the isolation valve fully open?

I only learned to respect this step after ignoring it once. In a rush, I replaced a stator and rotor without checking the suction side. The new stator ran for less than two hours before it was damaged. The first failure was caused by a collapsed suction hose. The replacement failed from the same cause. That was an expensive way to learn a simple lesson. Since then, no replacement goes in until the root cause is identified.

6. Restart under control and record what you did

When the repair is done, do not celebrate too early. Start the pump at minimum speed. Check rotation direction before coupling the pump to the drive, if possible. Watch the discharge pressure, flow, noise, and motor current.

Let the pump run for a full operational cycle before you call the line back. If anything sounds different, stop and investigate.

Finally, write the repair down. Record the serial number, the new part numbers, the date, the root cause, and the name of the technician. This is the file that saves you in the next emergency.

Rush mistakes that turn failures into disasters

Buying freight before the part is available. An airplane does not manufacture parts. Ask for a confirmed availability date, then choose the shipping speed.

Ignoring the approval chain. If a manager or a local Geschäftsführer needs to sign the purchase order, include that person before you approve. I once saw a rush part arrive ahead of the approval needed to install it. That is not the supplier's fault.

Escalating to company leadership too early. If an urgent service request goes quiet, ask for a senior applications engineer first. Executive escalation—including the Netzsch Geschäftsführer's office—should be a last resort, not a first step. Technical questions deserve the technical route.

Assuming OEM is always the slower option. It isn't. In some cases, the OEM service center has a remanufactured exchange unit sitting on the shelf. A local shop may need to manufacture a part and still quote you faster than the OEM. Check both, but verify what each is actually quoting.

That's the checklist. It's not dramatic. In an emergency, that's the point. The drama will find you anyway.
